Graduate Administrative Associate (Project Management)
Egerton University is the oldest institution of higher learning in Kenya. It was founded as a
Farm School in 1939 by Lord Maurice Egerton of Tatton, a British national who settled in
Kenya in the 1920s. It is established through the Universities Act No. 42 of 2012. Egerton
University has partnered with Michigan State University (MSU), United States International
University-Africa (USIU), National Cooperative Business Association CLUSA International
(NCBA CLUSA) and the National Youth Bunge Association (NYBA) to implement the USAID
Empowered Youth Program. This is a 5-year program that will be implemented by CoELIB at
Egerton University. CoELIB builds on existing knowledge and capacity to foster innovation
and business-oriented actions and recognizes that a collection of individuals, assets and
other resources do not yet constitute a potent organization that can make an impact on
livelihoods. Therefore, they harness capabilities into a sustainable organizational form
that can contribute to the well-being of people for inclusive socio-economic development.
The Program aims to connect youth through social and economic opportunities. The program
builds on existing evidence of youth social and economic challenges and opportunities from
previous, and current USAID investments; key stakeholder engagement, including Kenyan youth
and youth-serving organizations. MSU, EGU, USIU, NCBA CLUSA, and NYBA present a sustainable
model of youth empowerment to achieve the Program goal. The USAID Empowered Youth Program
will use a macro-level approach to strengthen the capacity of youth-serving systems and HEIs
to support youth empowerment initiatives.
The Graduate Administrative Associate (Project Management) will work with Project and Youth
Empowerment Officer in facilitating and assisting in the building of youth assets, agency,
contribution, engagement, and enabling environments, therefore, leading to greater resilience,
autonomy, and success of the program. He/she shall be instrumental in assisting youth gain the
skills, knowledge and support they need to function well in their environment, such as leadership,
teamwork, self-esteem, critical thinking, problem-solving, goal setting, cooperation, empathy,
and resilience. Specifically, the Graduate Administrative Associate (Project Management) will be
responsible for ensuring that program outputs and targets are met as per the program’s framework.
He/she shall also ensure that assigned activities are carried out as expected as per the
requirements of the program.
Duties and Responsibilities:
- Assist Project and Youth Empowerment Officer provide day-to-day administrative
and management inputs to the program team assuring smooth implementation of the program..
- Support Project and Youth Empowerment Officer in maintaining communication and coordinating
with other institutions to identify and realise opportunities for complementarity and synergies,
including monitoring and oversight of co-financing commitments.
- Assist Project and Youth Empowerment Officer in organising youth empowerment training and events
- Assist in preparation and implementation of program MEL plan, project communication and knowledge management plan
- Assist Project and Youth Empowerment Officer take minutes during project meetings.
- Assist in creating grants, including working with teams to create workflows, and responsibilities at each of
those workflow states needed to support the grant making process
- Managing documents through effective distribution, storage, and effective accessibility
- Develop, deliver and evaluate training to support youth through peer-to-peer mentoring,
skills building, and information sharing.
- Support and implement the development of youth projects/ forums and other services for young people with
young people, local volunteers and service providers.
- Promoting and reporting on the program and individual projects, including engagement and training
opportunities and relevant action research reports
- Assist Project and Youth Empowerment Officer ensure that project milestones and targets are met.
- Undertake any other tasks assigned or relevant in support of the efficient implementation of the project.
Key Performance Indicators:
- Annual and quarterly work plans, budgets and TORs, as applicable,
for all inputs of the project of satisfactory quality are prepared and made available promptly
- Expected program outputs, as per work plans are in keeping with the budgets,
of satisfactory qualities are delivered promptly
- Minutes indicating that at least one meeting of the office are held
every month are prepared and available
- Administrative and coordination supports to USAID Project monitoring missions,
donor mission and project evaluators of satisfactory quality are provided promptly
- Strengthened capacity of youth-serving systems
- Strengthened collaborations among key actors to empower youth empowerment systems
to make them more responsive, inclusive, and enabling.

- Has experience leading implementation of youth empowerment and business development programmes
- Strong interpersonal and collaboration skills within the team as well with external stakeholders.
